Change your ongoing Workflow

Learn how to edit the entities and tasks of your workflow.

Great, you've started your Workflow. You collaborate with your colleagues, but suddenly you notice something is missing: an entity or a step in the approval process. Or perhaps you need to update your process. No worries, we have you covered!

You can edit any ongoing workflow by adding or removing entities and by adding, removing, or editing tasks.

Edit your workflow

When you open your ongoing workflow, you will see an action button in the top right corner. The available actions are:

  • Rename: Select this action if you only need to update the name and description of the workflow.

  • Edit entities: Use this option to add or remove entities/registrations from the workflow.

  • Edit tasks: Here you can add, remove, or edit the tasks that were previously created.

  • Export xlsx: You will receive an xlsx file that includes all the tasks created by this workflow, along with their details.

  • Terminate: This option will terminate all outstanding tasks.

Let's take a closer look at "edit entities" and "edit tasks".

Edit entities

Via the "Edit entities" action, you can add or remove entities from the Workflow.

When you add entities, the Workflow will generate all tasks defined in step 3 for the newly selected entities.

After adding entities, please double-check the tasks created for these entities to ensure they have the correct due dates, assignees, and approvers.

If some entities are no longer active, such as due to mergers or liquidation, we suggest removing them from the Workflow. This suggestion is optional.

When you remove entities, the Workflow will terminate all tasks related to these removed entities. Please note that completed tasks will not be removed and will remain untouched.

Edit tasks

You have the option to add a task, remove a task, or edit an existing task.

When adding a task, it will be created for all entities selected in step 1. The same applies when removing a task.

When editing a task, you can update for example the task description, add a reminder, or include an approval step. All active tasks will be updated when you save the changes. Completed or tasks in review will not be updated.

If a task “in review” is rejected and the assignee is required to start over, the task will be automatically updated according to the latest version of the Workflow.

💡 Please note that any changes you make to the workflow will never result in the deletion of data that was previously saved on Loctax.
